This policy explains how IoWT, LLC, doing business as Flow-Sync (“Flow-Sync,” “we,” “us”), collects, uses and protects information. It covers our website (flow-sync.com) and the Flow-Sync operations app at app.flow-sync.com (the “App”). The App is used by Flow-Sync staff and by customers we invite.

Information we collect

  • Account information. Name, work email, phone number, company, and the role your administrator assigns you.
  • Operational information. Jobs, equipment, locations, tickets, tasks, schedules, notes, photos and documents you upload, and hours worked.
  • Location information. GPS positions of Flow-Sync vehicles from our fleet-tracking provider. If you allow it, your device’s location when you use location features, such as checking in at a job site.
  • Equipment data. Readings from Flow-Sync monitoring equipment at your job sites, such as flow rates, pressures and alarms.
  • Accounting information. If a Flow-Sync administrator connects our QuickBooks Online company: customers, invoices, products and services, tax settings and custom fields from that company.
  • Technical information. Sign-in records, activity logs of changes made in the App, and basic device and browser details. The App stores your sign-in session and language choice in your browser’s local storage. We do not use advertising cookies or third-party analytics.

How we use information

  • To run the App: sign you in, schedule and dispatch work, track equipment, and show job activity.
  • To send notifications you have opted into, such as job alerts and sign-in codes by text message.
  • To prepare, check and send invoices, and keep our QuickBooks Online records consistent with job records.
  • To keep the App secure, investigate problems, and meet legal and accounting obligations.

We do not sell personal information. We do not use QuickBooks data for advertising, and we do not share it except as described below.

QuickBooks Online

The App connects only to Flow-Sync’s own QuickBooks Online company, and only a Flow-Sync administrator can connect or disconnect it. We use that data only to match invoices to jobs and to create and send Flow-Sync invoices. Connection keys are encrypted and kept on our servers; they are never sent to your browser. An administrator can disconnect at any time in the App or from QuickBooks, which ends our access.

Who we share information with

We share information only with service providers that help us run the App, and only as needed for their service:

  • Amazon Web Services: hosting, database, sign-in and file storage (United States).
  • Intuit QuickBooks Online: accounting and invoicing.
  • Twilio: text messages.
  • Google Maps: maps, addresses and directions.
  • Quartix: vehicle tracking.
  • Anthropic: AI features, such as reading uploaded documents and answering questions in the App.

Customers can see information about their own jobs and equipment, and nothing about other customers. We may also disclose information if the law requires it, to protect people or property, or as part of a sale or reorganization of our business.

Security

Data is encrypted in transit (HTTPS) and stored in access-controlled AWS systems. Every request is checked against the user’s role on our servers. No system is perfectly secure; tell us right away if you think your account has been compromised.

Retention

We keep job, equipment and billing records for 2 years, or longer when the law, a billing dispute, or tax and accounting requirements call for it. When an account is closed, we remove or de-identify its personal information unless we must keep it for those reasons.

Your choices

You can review and update your profile in the App, turn off text notifications, and deny location access in your device settings. To ask for a copy of your information, a correction, or deletion, email info@flow-sync.com. We will respond within 30 days.

Children

The App is for business use and is not directed to anyone under 18.

Changes

We will post any changes on this page and update the effective date. If a change is significant, we will notify App users.
